How do I manage a change of a service provider in the container management?

A change in waste disposal provider may occur, for example, due to a new tender. How do I record this in the software?

Containers are already at the designated location. Now that a new service provider has been hired and the pricing conditions have been adjusted, it's necessary to completely recreate the containers in the software. New waste disposal company, new prices, and new contact persons.

To maintain a complete overview of the development of your waste management processes, we recommend keeping the existing containers with the "old" service provider in the software. This way, you can access historical data at any time, even after changing service providers, and analyze relevant statistics on the previous containers and the previous provider.

How can this be implemented in a practical way without causing significant manual effort?

  1. Create a new service provider in Administration -> Service Providers

  2. Open container management
  3. Set correct filters (the service provider you wanna replace)
  4. Container export with prices from the actual containerexport eng
  5. Download export under Administration->Excel export
  6. Open Excel file
  7. Go to the right in the Excel file until the green area
  8. The new data to be entered into the software is stored in the green area. Important here is the validity date (from-to date) of the new containers. From when should the new containers be valid?Bildschirmfoto 2025-10-06 um 10.15.04
  9. The new service provider and new service provider location must also be entered here. You can also enter the new prices (further to the right) at this point.DL neu
  10. After editing, save the new Excel file on your computer
  11. Go back to the container management
  12. Do the container import

    Import EN
  13. When importing containers, select the "Copy existing containers (update to the deadline)" option. Please note the information displayed:

    copy en
  14. Select the file. It will then be analyzed. The system will alert you to any possible errors.
  15. Do the import
  16. After a successful import, the existing containers were copied accordingly. This ensures you benefit from seamless documentation and maintain a complete overview of your container history – even after changing service providers.
  17. Caution⚠️

You have now copied the existing containers. To ensure a smooth transition, the "old" containers must now be set to a time limit. Ideally, you should set the time limit for the existing containers one day before the new ones become effective (e.g., on December 31st if the new containers are active from January 1st).
  18. To precisely control the validity period of historical containers, use the "Set validity date" feature, which you can find in the bottom right corner of the container management. This allows you to select the exact validity-to date and ensure that the historical containers expire automatically at the desired time.
